BookADetailer is operated by 1001519812 Ontario Inc. ("BookADetailer", "we", "us"), Ontario, Canada. This policy explains what information we collect, how we use it, and the choices you have. It applies to bookadetailer.com and its subdomains, our shop portal, our phone tracking service, and our internal tools that connect to Google Ads.
Information we collect
- Shop (client) information: business name, owner name, email, phone number, address, services offered, service area, and business photos you provide.
- Google Ads data: with your authorization, we access Google Ads accounts we manage for you, including campaign settings, budgets, keywords, and performance data such as impressions, clicks, cost and conversions. We do not see or store your card or bank details; Google handles all payment information.
- Calls and messages: calls and texts to and from BookADetailer tracking numbers may be recorded and transcribed, with caller phone number, date, time and duration logged. Callers hear a notice that calls may be recorded.
- Website visitors: information you submit in quote or callback forms (name, phone, vehicle and service details), plus standard usage data collected through cookies and analytics tools such as Google Ads conversion tracking and Microsoft Clarity.
- Billing records: weekly job totals, invoice amounts and payment confirmations (for example, Interac e-Transfer notifications).
How we use information
- To create, run, measure and improve Google Ads campaigns for detailing shops.
- To connect customer calls and quote requests to the right shop.
- To show shops their spend, calls and bookings, and to calculate and invoice our fee.
- To prevent fraud, resolve disputes and meet legal obligations.
We do not sell personal information.
Google API data
BookADetailer's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We use Google Ads API data only to provide and improve our advertising management service for the shops we work with, and we do not use it for any other purpose, sell it, or use it to serve unrelated advertising.
Who we share information with
- The shop you contacted: callers' and form submitters' details go to the detailing shop serving their area.
- Service providers that process data on our behalf: Google (advertising), our telephony provider (call routing and recording), transcription and AI processing providers, and our web hosting provider. They may only use it to provide services to us.
- Legal requirements: when required by law or to protect our rights.
Data retention
We keep call recordings and transcripts for up to 24 months, and billing records for as long as tax law requires. Other information is kept while we work with a shop and deleted or anonymized afterwards, unless the law requires us to keep it.
Security
We use access controls, encrypted connections (HTTPS) and limited staff access to protect information. No system is perfectly secure, but we work to protect your data.
Your choices and rights
You can ask to access, correct or delete your personal information, or withdraw consent, by emailing us. Shops can revoke our access to their Google Ads account at any time from Google Ads. Canadian residents have rights under PIPEDA and applicable provincial law.
